POSITION TITLE: Accounting Specialist

REPORTS TO: Finance Director

 

POSITION DESCRIPTION:

We are looking for an ambitious professional to provide support to the finance and accounting department by managing daily accounting tasks. You will be part of a team of professionals working to maintain order and transparency for the Company’s finances. The goal is to contribute to the overall efficient operation of the department. The position is based in the Phoenix Corporate Office.

 

KEY RESPONSIBILITIES:

  • Manage Accounts Payable processes and all related transactions to include:

      • Maintain vendor records.

      • Review, code and enter vendor bills; perform a three-way match for inventory items.

      • Prepare and process weekly payments, which includes checks, wires, credit cards and ACH.

      • Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.

      • Maintain a filing system for financial information, records and documents.

      • Handle all vendor correspondence.

      • Prepare and file annual 1099 forms.

  • Accounts Receivable processes and all related transactions to include:

      • Manage invoicing and cash collection process including distribution of customer
        invoices and past due follow-up communication.

      • Handle all customer correspondence.

  • Prepare non-inventory purchase orders.

  • Reconcile cash accounts daily and credit card accounts on a weekly basis.

  • Log expense reports for review.

  • Assist with implementation of new systems or existing system enhancements.

  • Make recommendations to increase the efficiency and effectiveness of current processes.

  • Perform other duties as needed to support the accounting department.

 

EDUCATION & EXPERIENCE:

  • Bachelor’s Degree in Accounting or Finance, preferred.

  • 2-3 years accounting experience.

  • Process oriented with strong attention to detail and accuracy.

  • Proficient with Microsoft Excel and Google Docs.

  • NetSuite experience, preferred.

  • Maintain confidential information.

  • Ability to work independently and problem solve.

  • Strong interpersonal and written communication skills.

  • Strong organizational skills.

  • Ability to effectively manage multiple projects and meet deadlines.

  • Versatile, capable, and willing to assist other departments effectively when required.
